WHAT PERSONAL DATA WE COLLECT AND WHY
USER Signup and Comments

A USER who chooses to take up a Membership usually has to fill in a signup form, which requires some personal information gathering. This is for the purpose of ensuring the best collegiate admissions process information and content can be made available to you.

If the chance for USERS to leave comments on the SITE is made available, we will collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If the option was made available for you to upload images, and you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact or Signup Forms

Information crucial to KC360’s ability to provide you with the very best service possible is collected at signup, and occasionally via other permission based marketing, through email contact with you. This information is kept confidential and is only shared with selected parties with your permission: i.e. universities.

Universities who regularly participate in KC360 Virtual College Fairs (VCF), require a minimum amount of USER contact information to help facilitate a successful VCF for all involved. KC360 reminds you that you have the option to allow this to happen, or not to allow this to happen.

Cookies

If the option was available for you to leave a comment on our site, you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Unless you have provided permission to do so, we do not share your data. We may share system analytics with our service providers which carry no individual identities, for the purposes of maintaining system integrity.

PERSONAL DATA
How long we retain your data

If the option is made available to leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. Users can edit their basic information, and change their email address and password (except they cannot change their username). Website administrators can also see and edit that information and a user may request for this to occur. You also have the ability on the Account & Profile page to cancel, upgrade or downgrade your Membership.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. This is provided in a one line CSV file. You can also request that we erase any personal data we hold about you, which means a full deletion of Membership and User information. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

If this option is made available, visitor comments may be checked through an automated spam detection service.

Your contact information

The only contact information kept on this system is the information you provided at the time of registration. Any other information collected for KC360 marketing is kept for KC360’s specific purposes and is not sold.

How we protect your data

This website is hosted at a world class, leading hosting company. To help protect your data, it is essential that all site users maintain a suitable personal password policy. All passwords must be a minimum of ten characters, contain letters, numbers and special characters and have at least one capital letter. An effective password does not include a dictionary word. This also includes dictionary words where some letters have merely been changed for special characters.

What data breach procedures we have in place

The procedures are limited to reinstalling of the site data from the most recently available backup. All other data breach procedures are limited to the terms and conditions provided by the hosting company where the site is located. KC360 is not liable for any loss of your information and or course progress within the learning management system.

What third parties we receive data from

For the purposes of anonymity and personal data protection, if applicable, the only information this organization receives is the confirmation from a user’s affiliate organization which warrants a user’s registration request as legitimate.

What automated decision making and/or profiling we do with user data

There is no automated decision making or profiling.
